Governance Online Meetings come in many different styles, but the primary to the success of a governance meeting is that participants are able to communicate with each other in the same manner as the case if they were in real life. This includes sharing screens, voice and video calls and allowing instant questions and responses. This means that anyone could be forced to leave a meeting at any time, if they are disruptive or inconsiderate. They should also be notified via email immediately with a record.
The presiding officer, or chair of the meeting, has to ensure that the meeting is on the right track. A good governance meeting should have an agenda that is strict and have time limits for each item. This will ensure that the statutory governance standards are adhered to and if the meeting is being reviewed by an external party then they’ll likely look for evidence of these standards.
Ideally, governance meetings are held weekly but this isn’t always practical for all teams. It is recommended to plan the first few meetings near each other (especially when you’re just starting out with Roles) but plan to meet less frequently as your team becomes accustomed to working in Roles.
It is also useful to have a few check-in calls between governance meetings to keep the team in touch and provide an opportunity for those who have concerns or questions to have their concerns addressed. It’s also a great way to strengthen relationships between the senior leadership team.
